Download a Batch of QuickBooks Reports in Excel, Not PDF

Download a Batch of QuickBooks Reports in Excel, Not PDF

The problem

Right now, you can download report batches in PDF only. We need to be able to download multiple reports, in excel. The inability to do is costing us hours every month.

You've set up a group of reports for a client, but QuickBooks only lets you download the whole batch as a single PDF, and when it does export a group, the formatting falls apart. Getting them into Excel means exporting each report one at a time and stitching them together every month.

Why QuickBooks can't do it

Modern report groups are built for on-screen viewing and PDF packages. There's no one-click 'download this group to Excel,' and the group export doesn't preserve each report's formatting.

Do it in Google Sheets with Retriever

Retriever puts each report on its own tab in a single Google Sheets workbook, which is already Excel-compatible.

  1. Build your report pack once

Pull each report you need (P&L, Balance Sheet, A/R aging, and so on) into its own tab of one Google Sheets workbook with Retriever.

  2. Refresh the whole pack in one click

A scheduled refresh updates every report at once, so the pack is always current without re-running anything.

  3. Download to Excel

File → Download → Microsoft Excel gives you the entire batch as a formatted .xlsx workbook, every report on its own sheet.

  4. Or just send the Sheet

Share the workbook link instead of emailing files; the recipient always sees the latest numbers.

Retriever pulls every report into one Google Sheets workbook you can refresh in a click and download to Excel, no more one-at-a-time exports.

Frequently asked questions

Can I download QuickBooks management reports in Excel?

No. Management report packages export as PDF only, and there is no option to download the set as spreadsheets. Asking for management reports in Excel is one of the highest-voted requests on Intuit's public feedback board. Pulling the same reports into Google Sheets gives you the numbers in a workbook while the package stays available for presentation.

Can I download several QuickBooks reports at once?

QuickBooks exports one report at a time, and its batch option produces PDFs. Retriever pulls multiple reports into separate tabs of a single Google Sheet and refreshes them together, which is the closest thing to a batch download in a spreadsheet format.

Can I export multiple QuickBooks reports to Excel at once?

Not from QuickBooks directly. In Google Sheets, each report is a tab, and File → Download → Excel exports them all together.

Will the formatting survive the export?

Yes. You control the formatting in Sheets, so what you see is what exports, unlike QuickBooks' group PDF export.

Do I have to rebuild the pack every month?

No. Build it once; Retriever refreshes every report on a schedule.
