QuickBooks Has No Firm-Level Report Templates. Here Is the Workaround
The problem
Most firms use the same handful of report formats for every client. QuickBooks makes you build each one inside each client file. Moving a few hundred clients from legacy management reports to the new ones means recreating the same layout a few hundred times, and every rebuild is another chance for a grouping, a date range, or a subtotal to come out slightly different from the last one. The inconsistency is the part that costs you, because it shows up in front of the client.
Why QuickBooks can't do it
Report customization lives inside a company file. Custom reports and report groups belong to that client, not to your firm, so there is no firm-level template and no way to apply a saved format to a list of clients at once. Management report packages can be duplicated, but only within the same company. Firms asked for templates set at the firm level on Intuit's public feedback board in September 2026, where the request is Under Review.
Do it in Google Sheets with Retriever
A spreadsheet separates the layout from the company. You build the format once, copy the workbook for each client, and point each copy at a different company. The format stops living inside the client file, which is what made it unrepeatable.
- Build the format once, for one client
Set the report, the period, the columns, the accounting method, and the filters, then add the subtotals, ratios, and commentary the firm puts on every package.
- Decide where your additions live
On the Profit and Loss, Balance Sheet, Cash Flow, and Budget you can build the package inside the report itself: insert rows and columns for your subtotals and KPIs, re-order rows by dragging them, and apply your formatting. All of it survives refreshes. On the other reports, inserting rows is not available yet, so put those additions on a tab that references the pulled data.
- Copy the workbook for the next client
Make a copy of the Google Sheet. The copy keeps its Retriever reports, so you open Edit Report, swap the company, and refresh. Your layout, formulas, and formatting come across with it and only the numbers change. One Retriever account connects anywhere from one to over a hundred QuickBooks companies.
- Set the refresh schedule once per workbook
Each spreadsheet carries its own auto-refresh schedule: hourly, daily, weekly, or monthly. Set it when you build the workbook and the package rebuilds itself before you open it.

Build the format once, not once per client
Retriever connects one to 100+ QuickBooks companies from a single account. Build the workbook once, copy it per client, and swap the company on each report. The format is yours and the company is just a setting on it.

Can I apply one custom report format to all my clients in QuickBooks?
No. Customizations, custom reports, and report groups are saved inside a single company file. There is no firm-level template and no bulk apply.
Do I have to rebuild the template for every client?
No. Copy the workbook, swap the company on each report with Edit Report, and refresh. A copied Google Sheet keeps its Retriever reports, so the second client costs you a copy and a dropdown rather than a rebuild.
What about clients with different charts of accounts?
Rows follow each company's own chart of accounts, so a layout that assumes fixed row positions will not line up across clients. Put the summary layout on its own tab and have it reference accounts by number or by name, and the same template absorbs the differences.
How many QuickBooks companies can one account connect?
One to over a hundred. Companies are added from the Account section and selected from a dropdown when you create or edit a report.
Can someone help me build the first template?
Yes. Retriever support builds custom templates with firms, which is usually worth doing once for the format you will repeat across every client.
