QuickBooks Report Templates: What Is Built In, What Needs Advanced, and What Refreshes Itself

QuickBooks Report Templates: What Is Built In, What Needs Advanced, and What Refreshes Itself

The problem

Searching for QuickBooks report templates turns up three different things, and the differences matter more than the word template suggests. There are the starter management report packages inside QuickBooks Online, the report templates that come with Spreadsheet Sync, and the spreadsheet templates published by everyone else. Pick the wrong one and you either cannot open it on the plan you are paying for, or you can open it and then cannot get the numbers out in a format you can actually work in.

Why QuickBooks can't do it

QuickBooks Online does ship report templates, in two separate places, and each one carries a constraint worth knowing before you build a monthly process on it. The management reports area has starter packages, typically a company overview, a sales performance package, and an expenses performance package, which you copy rather than edit directly. The finished package exports as a PDF or a Word document, never as a spreadsheet. Spreadsheet Sync has its own report templates, and per Intuit's documentation as of August 2026 it runs only on QuickBooks Online Advanced and QuickBooks Online Accountant, so Simple Start, Essentials, and Plus cannot use it at all. Underneath both, customizations, custom reports, and report groups are saved inside a single company file, which is why none of this travels to the next client on its own.

Do it in Google Sheets with Retriever

A spreadsheet template is the third option, and the question that separates a good one from a bad one is whether it refreshes. A static template is a layout you paste this month's numbers into, which means the export is a recurring chore. A connected template holds the layout and pulls the current numbers into it, so the hour you spent building the thing is an hour you do not spend again.

  1. Decide whether you need the package or the data

A management report package is a finished document: cover page, contents, statements, commentary. If someone just needs to read it, QuickBooks already does that well. If anyone downstream needs to sort, filter, add a ratio, or build a chart on top of it, the PDF and Word export is the wrong starting point and a spreadsheet template is the right one.

  2. Check what your plan actually allows

Spreadsheet Sync and its templates are limited to QuickBooks Online Advanced and QuickBooks Online Accountant. On Simple Start, Essentials, or Plus you will not find them. Retriever does the same core job of pulling reports into Google Sheets on any QuickBooks Online plan, from $60 a month, which is the reason most people arrive at a third-party template in the first place.

  3. Start from a template that matches the report you need

Starting from a built template beats starting from a blank sheet, because the layout, the comparisons, and the formatting are already decided. The Profit and Loss Dashboard covers trailing twelve-month revenue and profitability, the Summary P&L gives a board-level view with year-over-year and trailing-twelve-month comparisons, the Multi-Entity P&L consolidates several companies into one view, and the A/R Dashboard covers aging and customer balances.

  4. Put your own rows and columns where they will survive a refresh

On the Profit and Loss, Balance Sheet, Cash Flow, Budget, and Budget vs. Actuals you can insert rows and columns inside the report itself for subtotals, ratios, and commentary, and re-order whole rows by dragging them. Those additions and that order survive a refresh. On the other reports, inserting rows is not available yet, so keep those additions on a separate tab that references the pulled data.

  5. Set the refresh schedule once per workbook

Each spreadsheet carries its own schedule: hourly, daily, weekly, or monthly. Set it when you build the workbook and the report is current before you open it. Auto-refresh pauses for any spreadsheet where the extension has not been opened in 90 days, so a workbook you only touch at quarter end is worth a manual refresh when you come back to it.

Frequently asked questions

Where do I find templates in QuickBooks Online?

In two places. The management reports area under Reports holds the starter report packages, which you copy and then edit. Spreadsheet Sync has a separate set of report templates, but only on QuickBooks Online Advanced and QuickBooks Online Accountant.

Can I use Spreadsheet Sync report templates on Plus?

No. Per Intuit's documentation as of August 2026, Spreadsheet Sync is available on QuickBooks Online Advanced and QuickBooks Online Accountant only. Simple Start, Essentials, and Plus have no access to it or its templates.

Can I export a management report to Excel or Google Sheets?

Not as a package. A management report exports as a PDF or a Word document. The individual reports inside it can be exported on their own, or pulled straight into Google Sheets so the layout you build around them is reusable.

What makes a report template self-updating?

The connection. A self-updating template keeps a live link to the company file, so a refresh replaces the numbers and leaves your layout, formulas, and formatting alone. A template without that link is a layout you re-paste into every period.

Can I reuse one report template across all my clients?

Not inside QuickBooks, because report customizations live in one company file and there is no firm-level template or bulk apply. In a spreadsheet you can: copy the workbook, swap the company on each report with Edit Report, and refresh. See the guide on reusing one report format across every client.
