QuickBooks Spreadsheet Sync comparison

QuickBooks Spreadsheet Sync: What It Does, Who Can Use It, and an Any-Plan Alternative

Spreadsheet Sync is Intuit's own tool for connecting QuickBooks Online to a spreadsheet — you run reports and pull data into Google Sheets or Excel from inside QuickBooks. It's genuinely useful, but there's one big catch that sends people looking for another option: per Intuit's own documentation (as of August 2026), Spreadsheet Sync is available only on QuickBooks Online Advanced and QuickBooks Online Accountant.

If you're on Simple Start, Essentials, or Plus, you can't use it at all — and Advanced is Intuit's top-tier (and priciest) QuickBooks Online plan. Retriever does the core job on any QuickBooks Online plan: it syncs your reports into Google Sheets on a schedule, from $60/month. Here's an honest comparison.

What QuickBooks Spreadsheet Sync is

Spreadsheet Sync is a built-in QuickBooks Online feature that connects your books to a spreadsheet. From within QuickBooks you can pull reports and data into Google Sheets or Excel, refresh them, and — in Excel especially — push certain data back. For firms consolidating several companies, it can run multi-company reports into one spreadsheet.

It's a legitimate, first-party tool, and if you already have access it's worth using. The question most people arrive with is simply whether they have access at all.

The catch: it's Advanced or Accountant only

Per Intuit's documentation (as of August 2026), Spreadsheet Sync is available only to QuickBooks Online Advanced and QuickBooks Online Accountant customers. On Simple Start, Essentials, and Plus it isn't offered — so for most QuickBooks Online subscribers, it isn't an option without upgrading to Advanced, Intuit's most expensive QBO tier.

That upgrade is a real cost. If the only reason you'd move to Advanced is to get your reports into Google Sheets, you're paying for a whole plan tier to solve one problem.

What Retriever does — on any plan

Retriever connects QuickBooks Online to Google Sheets and pulls the reports you rely on — Profit and Loss, Balance Sheet, General Ledger, and their breakdowns — into a sheet that refreshes on a schedule. It works on any QuickBooks Online plan, so you don't need Advanced to get QuickBooks data flowing into Sheets.

Pricing is transparent and self-serve: $60/month for one company, $100 for 2–10, and up by tier from there — read-only, so it never writes to your books. If you're on Essentials or Plus and just want your numbers in Google Sheets, this is the straightforward way to get them there.

Where Spreadsheet Sync makes sense

To be fair: if you're already on QuickBooks Online Advanced or Accountant, Spreadsheet Sync is included and worth using — especially in Excel, where its two-way data features are strongest. This isn't a knock on Intuit's tool.

The point is access. Spreadsheet Sync solves this for Advanced/Accountant users; Retriever solves it for everyone else, on the plan they already pay for.

QuickBooks in Google Sheets — no Advanced plan required

Retriever syncs your QuickBooks Online reports into Google Sheets on a schedule, on any plan, from $60/month — the Spreadsheet Sync job without the Advanced-tier upgrade.
