QuickBooks Balance Sheet Template: Build It in Google Sheets

QuickBooks Balance Sheet Template: Build It in Google Sheets

The problem

The QuickBooks Balance Sheet tells you the balances and stops there. You want the analysis that sits on top: current ratio, quick ratio, working capital, days sales outstanding, a month-over-month movement column, a tie-out against the prior period. So you export it, paste it into a spreadsheet, and rebuild the same formulas next month.

Why QuickBooks can't do it

QuickBooks reports have no calculated rows. There is no way to add a ratio, a percentage of total assets column, or a movement column between two periods. Balance Sheet by month helps with the periods but still gives you balances only, and the export brings the report formatting along with it.

Do it in Google Sheets with Retriever

Keep the balances connected and put the analysis in Sheets. That way the ratios recalculate whenever the books do.

  1. Pull the balance sheet by period

Bring the QuickBooks Balance Sheet into Google Sheets with a column per month or per quarter. Retriever writes it as structured data, so each account is a row you can reference.

  2. Add a movement and percent-of-total column

Calculate the change between periods and each line as a share of total assets. Both are standard review columns and neither exists in the native report.

  3. Build the ratio block

Current ratio, quick ratio, working capital, debt to equity, and days sales outstanding, each referencing the balance rows above. They update with every refresh.

  4. Add a tie-out check

A formula that confirms assets equal liabilities plus equity in every column. It flags a broken pull or an out-of-balance period before the report reaches a client.

  5. Split by class or location if you need it

Set the pull to break the balance sheet out by class, location, or customer, and the same template works for each segment.

Frequently asked questions

Does QuickBooks have a balance sheet template?

QuickBooks has Balance Sheet reports (standard, comparative, by month, by class) but not a template you can customize with your own rows or formulas. Anything calculated has to be built in a spreadsheet on top of the report.

How do I make a balance sheet in Google Sheets?

Pull the QuickBooks Balance Sheet into a data tab, build your layout on a second tab that references it, and add the ratio and movement rows there. Scheduling a refresh keeps the whole thing current.

Can I show a balance sheet by month in Google Sheets?

Yes. Set the pull to return one column per month and the template reads across the periods, which is what makes trend and movement columns possible.

Why does my exported balance sheet break my formulas?

QuickBooks exports carry merged header cells and mixed subtotal and detail rows. Pulling the report as structured data avoids both, so lookups keep working when the account list changes.
