Budget vs. Actuals Showing the Wrong Dates in QuickBooks? Fix the Period in Google Sheets
The problem
I usually select the 'Fiscal Year to Last Month' setting. If I choose this under Customization, it does not correctly update the dates on the actual report. It defaults to the entire year. I've ended up sending incorrect totals to clients more than once.
You set up a Budget vs. Actuals report, open Customization to change the period (say Fiscal Year to Last Month, or a month-to-date or year-to-date view) and the actuals column quietly reverts to the whole year. The budget side and the actuals side fall out of sync, and the totals you export (and sometimes send to a client) are wrong.
Why QuickBooks can't do it
QuickBooks' budget reports run on a fixed period model: the report is built around one date range, and the customization controls don't always apply that period cleanly to both the budget and the actuals. There is no reliable way to hold a fiscal-year-to-last-month window, or to show month-to-date and year-to-date side by side, without re-checking the dates every single time you run it.
Do it in Google Sheets with Retriever
In Google Sheets, the date range is a parameter you control, not a setting that resets on you. With Retriever pulling the report in, you define the exact window once and it holds.
- Pull the report into Google Sheets
Use Retriever to bring your Budget vs. Actuals (or the underlying P&L and budget) into a sheet, no export or copy-paste.
- Set the exact period as a parameter
Point the report at the precise window you need: fiscal year to last month, a specific month, or a custom range. It stays put; it doesn't revert to the full year.
- Show MTD and YTD side by side
Add columns for month-to-date and year-to-date from the same data, something QuickBooks won't set up in a single report.
- Let it refresh on a schedule
Once the period is defined, scheduled refreshes keep the numbers current, so the totals you send are always tied to the dates you meant.

Stop re-checking the dates every month
Retriever pulls your Budget vs. Actuals into Google Sheets with the exact period locked in, and refreshes it on a schedule, so the totals are right every time.

Can I show year-to-date actuals against a full-year budget?
Not in the native report, which applies one date range to both sides, so a full-year view pulls in months that have not been closed yet. Separating the two pulls in Google Sheets lets the actuals run to last closed month while the budget stays on the full year. This is a long-standing request on Intuit's public feedback board.
Why does my QuickBooks Budget vs. Actuals default to the whole year?
The customization period doesn't always apply to the actuals column, so it falls back to the full fiscal year. Setting the range in Google Sheets avoids the reset entirely.
Can I show month-to-date and year-to-date in the same report?
Not in a single native QuickBooks budget report. In Google Sheets you can place MTD and YTD columns side by side from the same pulled data.
Will the numbers stay current?
Yes. Retriever refreshes the pulled report on a schedule, so the actuals update without re-running the report or re-checking the dates.
